Problems with facsimile (fax) machines

In general
Most recent fax machines are compliant. Almost all noncomplaint machines will send and receive properly but the date stamp on incoming and outgoing faxes will be incorrect. This is may be unacceptable if the fax machine is used for legal documents; if so, the machine, or possibly its Read Only Memory (ROM) chip, may need to be replaced. Also, two Toshiba models reportedly will lose fax messages unless they have ROM upgrades. Otherwise, most departments probably can live with an incorrect or missing date stamp.

What departments can do
Testing a fax machine is relatively simple: Reset the date to December 31, 1999, 11:59 p.m. and see if the date rolls to January 1, 2000. You can use the same process to verify leap year compliance for February 29, 2000, a date that will occur because the year 2000 is a leap year.

Some machines may not automatically change to the correct date, but will accept a year 2000 or 00 date that is set manually. If the automatic rollover fails, try setting the date manually.

If the machine cannot be set to a year 2000 date, or does not handle it correctly (prints the wrong date, for example), it may be possible to replace the machine's ROM chip. Check with the manufacturer (see below) or your service representative for avail ability.

Models TF621 and TF651 reportedly will lose any document received into memory during the period January 1, 2000 - February 29, 2000. (Technical Bulletin #651-002 from Toshiba America Information Systems, Inc, Electronic Imaging Division; not available online). These models require a ROM upgrade in order to be Y2K compliant. The ROM upgrades are available from authorized Toshiba Facsimile dealers.

Note: fax machines have EQ code H4013 in the BETS database. This code can be used, with the on-line BET770 report, to get a list of all departmental fax machines in the BETS database, where the unit cost was over $500.
