Rollover Planning

Rollover period plans of central departments

To help departments plan for the rollover, here is what central campus units are planning to do for the rollover period:

Physical Plant - Campus Services will have additional craft personnel on site on December 31st in addition to the night shift crew. This group will be responsible for conducting physical checks of critical equipment and alarms in the buildings. A group of craft personnel will be available on call to respond to emergencies if conditions warrant. There will be personnel to handle building control calls and also personnel to respond to any utility emergencies.

Communication and Network Services (CNS) will have at least a dozen staff are on call for the transition to Jan 1, 2000. Most of the critical systems in CNS, such as Northern Telecom telephone switching gear and Cisco routers, are in heavy use all over the world. CNS will be monitoring Y2K events as they occur during the day. If the experience in other time zones creates concern, CNS will have staff on site as appropriate.

Environment, Health & Safety (EH&S) will be prepared to respond immediately in case of a hazardous material release, although no such releases are expected as a result of Y2K problems. In addition to the normal 24-hour chemical emergency response service provided by the department, EH&S will have both industrial hygienists and chemical clean-up specialists on call New Year's eve. The majority of EH&S technical staff will also be locally available for recall to campus should additional help be needed.

Central Computing Services (CCS) staff will bring down all central computing systems and perform full back-up operations on them, starting at noon on Friday, December 31 (a university holiday) to ensure that a complete and correct version of all online information is saved and available for future reference. These systems will be turned off before midnight to guard against any possible fluctuations in, or loss of, electrical power. About fifty servers are involved; only servers that support the campus network will remain operational. CCS staff members will remain on-site throughout the night to restore the complete computing and communications environment when they are confident that the power supply is stable. Administrative Systems Department (ASD), Student Information Systems (SIS), and departmental staff will have Saturday and Sunday (January 1st and 2nd) to test their production environments to ensure that the campus is ready for normal business on Monday January 3. More detailed information on ASD's rollover planning is also available.

Office of Laboratory Animal Care (OLAC) employees will be on campus and working regular schedules during the December 1999 - February 2000 period. In case of emergency, the staff will follow the Emergency Response Plan for OLAC. Emergency veterinary concerns or facility physical plant concerns can be reported to OLAC veterinarians through a 24-hour on-call system. The OLAC Emergency Contact list is current and has been distributed to key personnel including the OLAC answering service.

The University of California Police Department (UCPD) will be maintaining a normal staffing level over the holidays. They will have people available for emergency contact, and will have special resources on stand-by over the rollover period.
